Task – Virtual Communication Task – Individual

 Base your report on the scenario provided.
 Research appropriate communication tools to achieve the communication tasks the company wants to
accomplish.
 Use user-reviews posted online as an indicator of the tools’ effectiveness. You may also have personal
experience using the tools that you can draw on.
 You only need to cover THREE communication tasks – choose which 3 communication tasks from the list of 5
below you want to focus on.
 Your report is worth 20% (5% from team evaluation component added to the report).
BACKGROUND
Jacqueline Smyth is owner and specialist designer at Woolly Furz, a Te Awamutu-based Merino wool and
possum fur blend clothing manufacturer. The company is expanding globally and is opening two off-shore
sales stores in London, England and Shanghai, China, with all manufacturing remaining in Te Awamutu.
Jacqueline currently has two clothing designers and three sales staff working at Woolly Furz. The clothing
production is contracted to a local company in Te Awamutu. Jacqueline’s sister and one new sales staff will
manage the London store. The Shanghai store will be staffed by a local Chinese manager, who Jacqueline met
while in China on a recent business trip, and three other sales staff members. Jacqueline has also hired a
Chinese designer to help design new clothing designs that would appeal to the Chinese market.
The five key tasks they need to accomplish are:
 Building relationships (a foundation of effective teams that can work collaboratively on a range of
projects)
 Organising and holding meetings (including taking and sharing meeting notes)
 Scheduling tasks and managing projects (allocating tasks and provide a means of indicating when each
task is completed)
 Creating and sharing information and files (small and large files, PDFs, documents, spreadsheets and
design/visual information)

 Collaborating on a range of written tasks (creating documents and providing feedback)
TASK
You are the communication consultant Jacqueline has contracted to recommend a virtual communication
strategy for the expanding team. Jacqueline has asked you to explore a range of communication
technologies/tools that will enable Woolly Furz’s staff to complete the three (3) key communication tasks
efficiently, and will:
 complement each other
 be relatively easy to use
 be cost effective over the long term

Remember, you only need to cover 3 of the 5 key tasks in your report.
You will need to:
1. Identify and research at least two (2) appropriate communication technologies/tools that will support
each of the 3 tasks you select (4-6 tools in total – a single tool may be multi-functional).
2. Research the tools and find user-reviews that can help identify the usefulness of each tool for the
purpose it was designed for. You need at least 6 academic and quality professional sources in your
reference list and Appendix 2 – Sources Consulted.
3. Consider the information provided by the creator of the tool as well as user-reports/reviews of the
tools.
4. Consider the strengths and challenges of each independently and as part of a package of
technologies/tools.
5. Complete the user analysis template to collate your observations.
A3 PART 1 – Communication Technologies in Virtual Workplace Contexts Report– 20%
Once you have completed your analysis and reflected on your user-experiences (strengths and challenges –
use the analysis table provided), write a report which provides an overview of your research and analysis
process and then recommend the communication package for Fruity Buzz (use the suggested report format
provided).
A3 PART 2 – Reflection on a Team Communication Experience – 15%
OPTION 1
Choose a critical incident communication experience from your personal, social, work or sporting experiences,
where communication was facilitated using communication technologies. It could be a positive or negative
communication experience.
Write a short (approx. 200-250 words) explanation of the scenario you are analysing including the context,
purpose of the communication, intended audience, key messages and the tools that were used.
Then:
 describe the communication process and tools that were used to convey the message

 analyse the situation to determine what made the communication experience positive or negative
(draw on some of the course content to help support your analysis – referencing not needed)
 outline what you have learned about the use of communication tools to facilitate or hinder effective
communication.
OPTION 2
Reflect your experience using Stream to communicate and learn at Massey. Use your Week 8 CWA template
where you outlined the positives and negatives of Stream, and what it is designed for as an educational and
communication tool.
Write approximately 800-1000 words about your Stream user-experience and how it supports (or hinders)
your learning:
 describe what Stream is and what features it has to support learning (you can use the links from the
Week 8 workshop)
 analyse Stream from your user perspective – what is it useful for and what is challenging.
 reflect on how Stream could be improved from a user-perspective.

Why am I doing this?
1. This task gives you practice in exploring how communication happens in virtual
communication environments – a common aspect of global business. We are often faced
with communicating and collaborating with people we have never met in person.
2. The task is designed to encourage you to explore the impact of communication
technologies on communication, and actively reflect on a personal communication
experience (positive or negative) that was supported or hindered by the use of
communication technologies.
3. As in Assignment 1, you will gain further practice in clear, concise writing strategies for
effective business communication.
How can I do well?
1. Research a range of communication technologies that will allow the communication tasks
for the scenario.
2. Consider your own use and understanding of these technologies as you consider user-
reviews you find online. Consider the balance of positive and negative user reviews as you
research the tools, and categorise what most of the concerns centre on.
3. Select a meaningful communication interaction to reflect on for Part 2 of the task. Ensure
you outline the issue carefully so that your marker clearly gets a sense of what took place.
Then analyse the situation retrospectively and consider how you may have interacted
differently with the knowledge you have gained from the course.
4. Edit you work carefully, aiming for clear, concise writing.
