Dear Chairman,
I wish to bring to your attention the issue of spectators being locked out U 12s match for
attacking a player at Canberra Olympic and the strategies the club can employ to deal with this
issue.
There are different communication tools and channels that Canberra Olympics can use to address
this issue. One, the club can use a podcast through which the team representative can inform of
the decision taken by the club. Second, the club can also communicate through a press release
posted to the organisational website. Third, the club can also employ instant- relay
communication, which is a multi-user communication that enables different stakeholders to get
information and respond instantly. However, it would be prudent for the club to use the channel
and tool they feel most comfortable with.
One of the most effective communication tools is a vodcast. A vodcast is an informative piece
that reports events as they happen. This vodcast will be impactful and effective because it
combines texts and images. A combination of both texts and images is more effective than when
either of the two is used alone. It makes different appeals to the audience and it is more
convincing. The vodcast will help to outline and illustrate the issue making it easier for the
audience to understand.

Length: 3:00 minute vodcast PLUS 300 written response
Assessment Description:
This individual assessment piece builds on your first assessment task and requires you to create and upload a
video broadcast (vodcast) (3 minutes in length) about the issue in your local organisation from assessment
one. You will discuss the immediate short term responses (strategies) that the organisation are using to deal
with the issue. You will be talking as the Sport Manager or Social Media Liaison officer or Sport
Information Director on how the organisation will deal with the situation. This will take the form of a digital
media statement. You will also submit a 300 word written document responding to a request from your
organisation’s Board of Directors to three questions (300 words) relating to the strategies behind the
development of your vodcast.
We will discuss specific skills relating to vodcasts in the Week 5 workshop, including software that can be
used to edit the vodcast. A 5-step guide to creating and submitting your video is provided on the
website in the Assessment 2 folder. You MUST follow these steps to ensure that the link to your video
(Uploaded to YouTube) and submitted into the submission point, is open and available to staff as
“Unlisted” for marking purposes and retained for a minimum of 6 months.
Students are encouraged to be as creative as possible in developing their vodcast, which may include
elements such as:
 Other people (friends, family, classmates, etc.)
 Music
 Video clips
 Text or other graphics/illustrations
Vodcast Guidelines:
 The vodcast should be no longer than 3 minutes. Failure to adhere to this guideline will result in a
loss of marks.
 You are the host of the vodcast. Therefore, you must appear on the screen during the vodcast.
 You must submit a video file – not a PowerPoint with narration. We recommend LiveStream in
YouTube as a tool to record your presentation.
 You MUST us your webcam so that we can see you during your presentation. LiveStream in
YouTube allows you to record with your webcam.

You will then respond to a request from your organisation’s Board of Directors to respond to three
questions (300 words) relating to the strategies behind the development of your vodcast:
1. The choice of tools/channels for communication via the organisation’s website are many and
varied. What other tools/channels could be used by your organisation to further address the issue?
(Students should consider at least 3 different tools/channels here to discuss) (100 words).
2. As sport manager/social media Liaison officer/Sport Information Director, how do you expect your
vodcast will be effective and impactful? (100 words).
3. As sport manager/social media Liaison officer/Sport Information Director, how will you manage the
online reputation of your organisation and yourself in relation to this incident and the vodcast that
you release? (100 words).
Your response to these three questions should take the form of a formal email to the Chairman of the Board
of Directors.
